1) Paid Subscriptions and Billing
When you subscribe to a paid plan, you are charged in advance on a recurring basis (monthly or annually, depending on the plan selected). Access to the Service is provided immediately after payment.
2) Refunds
As a general rule, we do not offer refunds for subscription fees once a billing period has started. However, we may provide a refund in the following limited cases:
- Duplicate charges (for example, you were charged twice for the same subscription)
- Billing errors caused by our system
- Incorrect subscription charges (for example, you were charged for a plan you did not select due to an error)
If a refund is approved, it will be issued to the original payment method. Refund requests must be submitted within 7 days of the charge.
3) Monthly Subscription Cancellations
If you cancel a monthly subscription, your subscription will remain active until the end of the current billing month. You will not be charged again after cancellation, and you will retain access until the current billing period ends. No partial refunds are provided for unused time in a monthly billing cycle.
4) Annual Subscription Cancellations
Annual subscriptions are billed upfront for the full year. If you wish to cancel an annual subscription, you must contact us. Annual subscription refunds are not guaranteed and are considered only in limited cases such as duplicate charges, billing errors, or incorrect charges. If a refund is granted on an annual subscription, it may be issued as a pro-rated refund for unused time, at our discretion.
5) How to Request a Refund
To request a refund, contact us at support@smsrem.com. Include the account email used to subscribe, invoice number or payment reference (if available), and a short explanation of the issue. We aim to respond within 5 business days.
6) Chargebacks and Disputes
If you believe there is a billing issue, please contact us first. Filing a chargeback without contacting us may result in suspension of your Service access while the dispute is investigated.

These Terms of Service govern your access to and use of the Service operated by Christakis Kyriakou (sole proprietor). By creating an account, accessing, or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1) Who the Service is for
The Service is intended for business customers only. By using the Service, you confirm that you are acting on behalf of a business or professional entity and not as a consumer.
2) The Service
The Service provides access to a software platform for SMS appointment reminders and related business workflows. We may update, modify, or improve the Service over time. This may include adding or removing features, changing performance, or releasing new versions.
3) Accounts and Access
You are responsible for keeping your login credentials secure, ensuring only authorized users access your account, and all activity that happens under your account. If you suspect unauthorized access, contact us immediately at support@smsrem.com.
4) Subscriptions and Payments
Paid subscriptions are billed in advance either monthly or annually, depending on the plan selected. Payments are processed through Stripe. We do not store card details.
Monthly subscriptions can be cancelled within the Service. Cancellation takes effect at the end of the current billing month. Annual subscriptions require contacting us at support@smsrem.com to request cancellation. Refunds are governed by the Refund Policy.
5) Acceptable Use
You agree not to misuse the Service. You must not attempt to access accounts, data, or systems you are not authorized to access, interfere with or disrupt the Service or its security, or use the Service for unlawful activity. If we believe you are abusing the Service or creating risk for us or other customers, we may suspend or terminate access.
6) Intellectual Property
We own the Service, including its software, design, branding, and all related intellectual property rights. You receive a limited, non-exclusive, non-transferable right to use the Service during your active subscription, for your business purposes only. You may not copy, resell, reverse engineer, or exploit the Service outside of what is allowed by these Terms.
7) Customer Data and Patient Data
The healthcare professional (you) is the data controller for all patient data entered into the Service. SMS Reminder acts solely as a data processor. We do not access, use, sell, or share patient data for any purpose other than delivering SMS reminders on your behalf.
You are responsible for ensuring that your patients have given their consent to receive SMS appointment reminders before adding their contact details to the Service. You confirm you have the right to use and store any patient or business information you input. If you request deletion of your account and data, contact us at support@smsrem.com.
8) Availability and Support
We aim to keep the Service available and functional, but we do not guarantee uninterrupted access. We may suspend the Service temporarily for maintenance, upgrades, or security reasons. Support is provided via email at support@smsrem.com.
9) Termination
You may terminate your subscription by cancelling it. We may suspend or terminate access if you breach these Terms, fail to pay subscription fees, or your use creates a security, legal, or operational risk. If your account is terminated, access to the Service may be removed immediately.
10) Disclaimer
The Service is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, we disclaim all warranties, including fitness for a particular purpose, non-infringement, and availability.
11) Limitation of Liability
To the maximum extent permitted by law, we are not liable for indirect, incidental, special, or consequential damages, loss of profits, business interruption, or loss of data. Our total liability for any claim related to the Service will not exceed the amount you paid in the three months prior to the event giving rise to the claim.
12) Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will update the "Last updated" date. Your continued use of the Service after changes are posted means you accept the updated Terms.

This Privacy Policy explains how the Service collects, uses, stores, and protects personal data. The Service is intended for business customers (healthcare professionals) only.
Important — Patient Data
SMS Reminder does not own, access, or use patient data. All patient data entered into the Service belongs exclusively to the healthcare professional who entered it. SMS Reminder acts solely as a data processor — processing data only as instructed, for the sole purpose of delivering SMS appointment reminders. Healthcare professionals are responsible for obtaining their patients' written consent before adding their contact details to the Service.

2) What data we collect
We collect and process the following categories of data:
- Account and identity data: name, email address, phone number, and login credentials (stored securely)
- Business and billing data: subscription plan and billing status, invoices and payment-related identifiers
- Usage and technical data: basic technical data required to operate the Service (for example IP address, device and browser information) and logs necessary for security and troubleshooting
- Patient data (processed on behalf of healthcare professionals): patient names and mobile phone numbers, used solely for the purpose of sending SMS appointment reminders. This data belongs to the healthcare professional and is not used by SMS Reminder for any other purpose whatsoever.
We do not store payment card details. Payments are processed by Stripe and card data is handled directly by Stripe.
3) How we use your data
We use your data to provide and operate the Service, create and manage accounts, process subscriptions and payments, send SMS appointment reminders to patients on behalf of healthcare professionals, send service-related emails (for example account confirmations, billing notices, and important operational updates), provide customer support, protect the Service from misuse, fraud, or security incidents, and comply with legal obligations. We do not sell personal data.
4) Legal basis for processing
We process personal data under one or more of the following legal bases: performance of a contract, legal obligation, legitimate interests (security and prevention of abuse), and consent only where explicitly requested.
5) Data sharing and third parties
We share data only when strictly necessary to operate the Service, and only with the following providers:
- Hetzner — hosting and infrastructure (server where all data is stored)
- Stripe — payment processing (billing data only; no patient data is ever shared with Stripe)
- WebSMS — SMS delivery (patient first name, last name, and mobile phone number only, for the sole purpose of delivering appointment reminders)
We do not share any data with any other third party for any reason whatsoever.
6) Patient consent
Healthcare professionals using this Service are responsible for obtaining their patients' written consent to receive SMS appointment reminders before adding patient contact details to the Service. A bilingual (Greek and English) patient consent form is available for download below.

7) International transfers
Your data may be stored or processed within the European Union or other regions depending on infrastructure configuration. We will take reasonable steps to ensure appropriate safeguards are in place where international transfers apply.
8) Data retention
We keep personal data only as long as necessary for providing the Service, legal and accounting obligations, and resolving disputes. If you terminate your account and request deletion, we will delete your personal data where legally possible. Certain records (for example invoices) may be retained as required by law.
9) Your rights (GDPR)
If you are located in the European Union, you have the right to access your personal data, correct inaccurate data, request deletion (where applicable), restrict or object to certain processing, request portability of your data, and withdraw consent (where consent is used). 10) Account termination and data deletion
You can request account termination and deletion by contacting us. We will process deletion requests within a reasonable timeframe, unless we must retain certain data for legal or legitimate business purposes.
11) Security
We take reasonable administrative and technical measures to protect personal data, including access controls, secure authentication, encrypted connections (HTTPS), and backups. No online service can guarantee absolute security, but we work to reduce risk and respond to incidents quickly.
12) Cookies and analytics
We do not intentionally use analytics tools to track users. The Service may rely on essential cookies or session storage necessary for login and core functionality. If we introduce analytics or non-essential cookies in the future, we will update this policy.
13) Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make changes, we will update the "Last updated" date.
